How we work

Questions first. Then software.

Software fails when it's built from a requirements document, by people who never sat inside the operation it's meant to run. Everything about how Solvern works exists to prevent that.

The platform behind our case study wasn't specified by a vendor. The founder of the leasing business outlined its system himself — he ran the operation, so he knew where it broke — and it was built and refined in-house against real daily use. What worked there became the method here: understand the operation from inside, then build.

Where we start

Fifteen questions, before anything is designed.

Not a feature checklist — questions about how the work actually moves, where it stalls, and what it quietly costs. If a few of these are uncomfortable to answer, that's the point.

Where work actually happens

  1. An enquiry arrives on a Tuesday morning. Walk me through the next four hours — who touches it, in what order, and where does it get written down?

  2. Which step in your whole process most often stalls, and what is it waiting for?

  3. If one specific person did not come to work for a month, what would stop?

Where money leaks

  1. Which charges beyond the monthly amount are billable in theory, and roughly what proportion actually get billed?

  2. How long after a delivery does the first invoice go out, and who would notice if it never did?

  3. When a customer does not pay, how long before someone notices — and is it a person checking, or a customer complaining about something else?

  4. What is the oldest unpaid amount on your books, and could you tell me that without asking anyone?

Where versions go wrong

  1. How does the salesperson know which version of the quote is the final one?

  2. Has a superseded quote ever been treated as the live one further down the process? What did that cost?

  3. Between the quote the customer agreed and the final supplier invoice, who checks the two still match — and what happens if they do not?

Where the same work happens twice

  1. If the same customer detail appears in three documents, is it typed three times?

  2. Where does the same information get typed in more than once across the business?

  3. What report do you personally look at to know how the business is doing — how long does preparing it take, and how much of that is copying from one place to another?

Where the answer should be instant and isn't

  1. If someone asked you today how many vehicles you have on lease, how long would it take to answer with confidence?

  2. Which single spreadsheet, if it were lost tomorrow, would hurt the most?

Finished systems work when your operation is common. Ours wasn't — car leasing at scale has too many quirks that off-the-shelf products don't cover, so we built our own. That's the whole map: if your operation looks like everyone else's, buy the finished system. If it doesn't, we build around yours.
