Email

The emails nobody should be typing.

Welcome, confirmation, invoice and reminder mails, sent by your system the moment the trigger happens.

What it does

What email automation does in an operation.

Lifecycle mails

Welcome, delivery congratulations, renewal notice, contract end.

Documents attached

Invoices, agreements and receipts generated and sent from the record.

Internal alerts

Overdue payment, expiring policy, stalled approval — to the person who owns it.

Digests

A morning summary of what needs attention, built from live data.

Three emails nobody should be typing.

The welcome and the handover.

A new customer signs; a welcome mail goes out with what happens next. The vehicle is delivered; a congratulations mail goes out with the documents attached. Both are fixed templates filled from the record — the same mail every time, sent by the system, never forgotten.

The invoice.

The billing trigger fires — delivery confirmed, month started — and the invoice is generated from the contract and sent, with a copy filed against the account. The accounts team stops being the reason invoices go out late.

The morning digest.

At eight, one mail to each manager: what's overdue, what's expiring this month, what's waiting for approval — built from live data, not from someone assembling a report by hand.

How it works under the hood.

Your operations system watches for triggers — a status change, a date, a threshold — and sends through a proper email service with your domain authenticated, so mail lands in the inbox rather than spam. Templates are fixed and versioned; the data in them comes from the record. Where a mail needs writing rather than filling — an unusual reply, a summary of a long thread — an AI model drafts it and a person sends it. Plain software wherever plain software does the job.

The honest example

No AI in it — and that's the point.

The platform we built for a Mumbai leasing operation sends welcome and delivery mails automatically: fixed templates, customer details pulled from the system. No language model, no per-message cost, nothing to review. For an email that says the same thing every time, that is the better build. We reach for AI only where the message genuinely varies.

FAQ

Not if the domain is set up properly — SPF, DKIM and DMARC records, a reputable sending service, and no bulk blasts. That setup is part of the build.

It can read incoming mail, file it against the right record, and draft a reply for a person to send. We don't let it send replies unread where the content matters.

No. It works alongside whatever your company already uses for its inbox; the sending service handles only the automated mail.
